H.E.A.L Academy LLP (“HEAL Academy”, “we”, “us” or “our”) respects the privacy of website visitors, enquirers,

clients, students, practitioners and event participants. This Policy describes the personal information we may collect,

why we use it, when we share it, and how you can contact us. It applies to www.healacademy.net and our related

online and offline services. Read any additional notice presented when you provide information for a particular service.

1. WHO IS RESPONSIBLE FOR YOUR INFORMATION

H.E.A.L Academy LLP is responsible for personal information it collects for its own website, programs, coaching,

hypnotherapy-related services, events, community and communications. Privacy contact: connect@healacademy.net.

A third-party platform may also handle your information under its own privacy notice when you use its service.

2. INFORMATION WE COLLECT

Contact and identity details: name, age or age confirmation where relevant, email, phone or WhatsApp number,

location, profession, billing address and details supplied in an enquiry or enrolment form.

Transaction and participation details: program selected, booking and payment status, invoices, attendance,

assignments, case studies, practice-session submissions, assessment results, certification status, support requests and

correspondence. We ordinarily receive a transaction reference and payment status from a payment provider, rather

than your full card number.

Session and wellbeing information: if you choose to share it for coaching or hypnotherapy-related services, we may

collect goals, personal history, emotional concerns, relationship details, relevant health information, questionnaires,

session notes and other sensitive disclosures. Please give only information relevant to the service.

Audio, visual and testimonial information: images and video from events, group-session recordings where notified, and

separately authorised private-session recordings, interviews, testimonials or case studies.

Digital activity: device and browser details, IP address, pages visited, referral source, cookie identifiers and

interactions with our website, advertisements, webinars or communications, where the relevant technologies are used.

3. HOW WE RECEIVE INFORMATION

We collect information directly when you enquire, register, purchase, complete a form, attend, speak to us, submit

work or give feedback. We may receive booking, transaction, advertising or registration details from payment

gateways, webinar tools, social media, WhatsApp or other platforms you use to contact us. Website technologies may

collect limited device and usage information automatically.

4. WHY WE USE INFORMATION

We use relevant information to answer enquiries; assess suitability and enrolment; deliver sessions and programs;

provide course access, community support and certification; process transactions and invoices; arrange events;

respond to complaints; maintain service quality and security; comply with legal and accounting obligations; and

protect participants and our systems. We may analyse aggregated participation and website activity to improve

offerings. We use contact or advertising data for promotional communications where we have the required permission

or another applicable legal basis, and honour applicable opt-outs.

5. LEGAL BASIS AND YOUR CHOICES

We process personal information in accordance with applicable Indian law, including provisions of the Digital Personal

Data Protection Act, 2023 and related rules as and when those provisions take effect. Depending on the activity,

processing may be based on consent, information you voluntarily provide for a specified service, or another ground

permitted by applicable law. Where consent is required, we will seek it through an appropriate notice or choice.

Withdrawal of consent will not undo processing already lawfully carried out, and may limit our ability to provide a

service that requires the information.

6. PERSONAL SESSION INFORMATION

Personal disclosures and session notes are used to deliver or administer the relevant service, support continuity and

fulfil legitimate recordkeeping or legal needs. We seek to limit access to personnel and practitioners who need the

information for those purposes. We do not treat accepting website Terms as permission to publish private client

histories or to use a private session in advertising. Any identifiable case study, private-session recording or

promotional use will be addressed through a separate, appropriate consent process.

7. GROUP PROGRAMS AND PRACTICE SESSIONS

Other participants may hear information you choose to share in group coaching, training or practice sessions.

Participants are required by our Terms to respect confidentiality, but we cannot control every independent participant.

Please avoid sharing information in a group that you do not wish others to hear. We may notify participants when a

group class or webinar is recorded and explain how the recording is made available.

8. PAYMENTS

Payments may be handled by independent gateways, banks, UPI services or financing providers. They may collect and

process payment details under their own terms and privacy notices. We use transaction and billing information to

confirm enrolment, reconcile payments, issue invoices, investigate discrepancies and meet applicable tax or

accounting requirements.

9. COOKIES AND ADVERTISING

Our website or connected services may use necessary cookies, analytics tools and advertising technologies, including

tools associated with social-media or search platforms. Such technologies may help us keep the website working,

understand visits, measure campaigns or show relevant advertisements. Where a choice or consent is required, we will

support request. Promotional email, SMS or WhatsApp messages are handled in accordance with applicable consent

and opt-out requirements. To stop promotional messages, use an unsubscribe option where supplied or email

connect@healacademy.net. Essential service messages may still be sent while you remain enrolled or while a

transaction needs administration.

11. WHEN WE SHARE INFORMATION

We may share only relevant information with authorised staff, trainers or practitioners; providers of hosting, course

delivery, conferencing, messaging, customer support, analytics, advertising, cloud storage or payment processing;

professional advisers, auditors or insurers; and authorities or other parties where law requires or permits it. Providers

should receive information appropriate to their role and may operate under their own policies where they

independently determine purposes. We do not disclose your private session history to advertisers for use in

personalised advertising.

12. INTERNATIONAL PROCESSING

A platform used for conferencing, communication, storage, analytics or payments may process information outside

India. Where this occurs, we will handle the transfer in accordance with applicable Indian requirements and take

reasonable steps to use appropriate service-provider protections.

13. RETENTION

We keep personal information only for as long as reasonably needed for the stated purpose, ongoing services,

certification records, accounting or tax requirements, dispute handling, safety, and other lawful obligations. Different

records may require different periods. When information is no longer needed, we will delete, anonymise or securely

retain it only where continued retention is legally permitted or required. You may ask about a particular record or

request deletion at the contact below; we will consider the request in light of applicable retention obligations.

14. SECURITY

We use reasonable administrative, technical and organisational measures appropriate to the information and systems

involved, such as access controls, account protection, restricted sharing and service-provider safeguards. No

electronic service can promise absolute security. Please protect your own passwords, private meeting links and

devices, and tell us promptly if you suspect unauthorised access affecting your information.

15. YOUR REQUESTS AND RIGHTS

Subject to applicable law, you may contact us to ask what personal information we process about you, request

correction or updating, seek erasure where available, withdraw consent where the processing relies on it, or raise a

privacy grievance. Where the applicable law provides additional rights, including a right to nominate another person to

exercise rights in specified circumstances, we will address eligible requests as those provisions take effect. We may

reasonably verify identity before responding and may need to retain information where law allows or requires it.

16. CHILDREN

Our professional training and independent purchase of programs are intended for people legally able to enter into a

contract. If a service is offered to someone under 18, a parent or lawful guardian must contact us before providing the

child’s personal information or enrolling them. We will seek legally required verifiable parental consent when

applicable provisions are in force. We do not intentionally use children’s information for targeted advertising or

behavioural monitoring.

17. PHOTOS, INTERVIEWS AND TESTIMONIALS

An event may involve general photography or video with appropriate notice or consent where needed. Identifiable

testimonials, podcast interviews, personal case studies and paid-advertising use are handled through separate

permission appropriate to that use. A consent for an event photo does not automatically permit publication of a private

session disclosure. Contact us if you have a question about an image or testimonial involving you.

18. THIRD-PARTY LINKS AND PLATFORMS

Our pages and messages may link to third-party sites, social media, payment pages, video-conferencing platforms or

messaging services. Their data practices are governed by their own privacy notices. Review those notices before

providing information directly to them.

19. UPDATES TO THIS POLICY

We may revise this Policy as our services, technology or legal requirements change. The current version will carry its

latest revision date on the website. For material changes affecting how information is used, we will provide additional

notice or seek a new choice where applicable law requires it.
